JOB TITLE : Scheduler 

GENERAL SUMMARY OF DUTIES : Responsible for scheduling 30-50 cases per day and act as a liaison between the surgery center and referring doctors’ offices. Candidate will be an integral part of our Business Office Team and will be valued as a key member of our organization. 

POSITION REPORTS TO : Business Office Manager  

COLLABORATION WITH : Administrator, Director of Nursing, Medical Director

WORK SCHEDULE:

• Monday through Friday 7:30am to 4:00pm occasional preplanned late day.
• No holidays, weekends, or on call.

ESSENTIAL FUNCTIONS :

• Schedule, input surgical boarding's, coordinate, confirm, and reschedule patients as directed.
• Responsible for continually monitoring the schedule by filling vacant surgical block time.
• Verify necessary information and documents in the medical record and check for quality review.
• Basic understanding of insurance verification and authorization process.
• Notify physician offices of any surgical changes and communicate as needed.
• Act as a liaison between the organization, the physician offices, insurance companies and the patient as needed.
• Answer the telephone, screen and direct call, take and relay messages.  
• Provide general information and refer visitors to appropriate individuals.
• Attend meetings as required.
• Preform related work as required and fill in for absent clerical staff.
• Participate in educational activities, programs and committees as requested.
• Maintain patient confidentiality and confidentially of all proprietary information.
• Demonstrates positive interactions with the public, and positive interpersonal relations in dealing with fellow employees, supervisors, and other department employees, so that productivity and positive employee relations are maximized.

EDUCATION/EXPERIENCE :

• High School or GED.
• Required- 2 years of previous experience in a medical office setting.
• Preferred- 2 years of surgical scheduling experience.

KNOWLEDGE :

• Knowledge of clinic policies and procedures.
• Knowledge of managed care contracts and utilization.
• Knowledge of computer systems, programs and spreadsheet applications.
• Knowledge of medical terminology and be familiar with scheduling software.

SKILLS :

• Skill in gathering and reporting claim information.
• Skill in solving utilization problems.
• Skill in written and verbal communication and customer relations.
• Fast and accurate data entry.
• Service oriented, patient demeanor.
• Ability to multi-task, manage time effectively, and deliver results.
• Strict attention to detail.
• Intermediate computer skills and knowledge of Microsoft Office.

PHYSICAL/MENTAL DEMANDS : Requires sitting and standing associated with a normal office environment. 

ENVIRONMENTAL/WORKING CONDITIONS : Normal busy office environment with email and telephone work.
