JOB SUMMARY

The successful candidate will perform a variety of clerical tasks and provide general customer service for the Municipal Court and will work with the public in providing information and guidance on Municipal Court proceedings. Once certifications are obtained, Municipal Court Clerk I is eligible to be promoted:
Municipal Court Clerk II - salary $33,547 - $47,779/yr DOQ
Municipal Court Clerk III - salary $35,224 - $50,168/yr DOQ

Salary amount offered will depend on qualifications. This is a non-exempt position.

PRINCIPAL DUTIES AND RESPONSIBILITIES

Essential duties and responsibilities may include, but are not limited to, the following:
  • Case Management: Manage court case files, ensuring all documents are filed accurately and timely. Prepare dockets and court calendars.
  • Court Proceedings: Assist in the preparation and coordination of court proceedings, including setting up the courtroom, notifying participants, and recording outcomes.
  • Record Keeping: Maintain accurate records of court activities, including judgments, motions, and orders. Ensure confidentiality and compliance with legal standards.
  • Customer Service: Provide information and assistance to the public regarding court procedures, fines, and schedules. Respond to inquiries in person, over the phone, and via email.
  • Financial Transactions: Process fines, fees, and other payments. Maintain accurate financial records and prepare related reports.
  • Administrative Support: Perform general office duties, including data entry, filing, and maintaining office supplies. Assist with the preparation of reports and correspondence.
  • Compliance: Ensure compliance with all applicable laws, regulations, and court policies. Keep abreast of changes in court procedures and legal requirements.
  • Performs other duties as necessary in the absence of the Court Operations Supervisor or Court Administrator.
  • Attend yearly court clerk training at various locations around the state and through virtual means
  • Regular attendance at work and arrives on time.
  • Performs all other job-related duties as assigned or as become apparent.

PHYSICAL AND ENVIRONMENTAL CONDITIONS


Ability to sit, stand, and move about an office or building. Employee occasionally lifts materials weighing 20-50 pounds. Ability to bend and squat to retrieve or file supplies. May be exposed to electrical, mechanical, or chemical hazards while operating and/or maintaining office equipment.

REQUIRED QUALIFICATIONS


Education, Training, and Experience Guidelines
High school diploma or equivalent, three years of clerical or office experience, AND a minimum of 6 months cash handling and customer service required. An associate degree in criminal justice, Legal Studies, or related field preferred. Ability to obtain Notary Public Commission. Will consider an equivalent combination of education, training, and experience. Bi-lingual in Spanish preferred.


Knowledge of:
  • Legal Terminology: Applicable local, state, and Federal laws, codes, regulations, and ordinances; Understanding of legal terms and court procedures.
  • Court Systems: Knowledge of the structure and function of the judicial system.
  • Records Management: Familiarity with records management principles and practices, including confidentiality, retention policies, and procedures.
  • Cash handling and Financial Procedures: Knowledge of cash handling, receipting practices, and procedures

Skill in:
  • Attention to Detail: Strong ability to maintain accuracy and attention to detail in all tasks.
  • Communication: Excellent verbal and written communication skills.
  • Customer Service: Strong interpersonal skills with the ability to interact effectively with the public, attorneys, and court personnel.
  • Organization: Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Technology Proficiency: Proficient in the use of office software, including word processing, spreadsheet, and database applications. Experience with court management software is a plus.
  • Problem-Solving: Ability to identify and resolve issues efficiently and effectively.
  • Confidentiality: Demonstrated ability to handle sensitive information with discretion and integrity.

LICENSE AND CERTIFICATION REQUIREMENTS
Level I Municipal Court Clerk certification or ability to obtain within one-year of employment.
A valid State driver's license with a driving record that meets City's guidelines.
