Ascension Global Staffing & Executive Search is seeking a highly skilled and proactive professional to join our client’s Miami office as a Real Estate-Construction Legal Support Specialist . This role is ideal for someone who thrives in a fast-paced, deadline-driven environment and is committed to delivering exceptional results.

The ideal candidate will demonstrate strong problem-solving skills, sound decision-making, and a dedication to accuracy and efficiency. A can-do attitude, initiative, and adaptability are essential, along with excellent communication skills to collaborate effectively across teams and support clients.

This position requires regular in-office presence to support day-to-day operations, team meetings, training, and relationship-building opportunities.

Key Responsibilities:

  • Draft, review, edit, and proofread legal documents, including correspondence, memoranda, closing documents, and other practice-specific materials.
  • Prepare closing statements, closing binders, disbursements, and title policies.
  • Assist in drafting opinions, memos, and other attorney correspondence.
  • Ensure attorneys comply with client-specific requirements, including billing.
  • Manage practice calendars to optimize workflow and efficiency.
  • Maintain organized legal files (both electronic and paper) and manage document deliveries.
  • Support attorneys with administrative tasks including opening new matters, drafting engagement letters, travel arrangements, expense reimbursement, and maintaining calendars.
  • Collaborate with paralegals and other legal support staff as needed.
  • Receive and evaluate phone calls for attorneys and relay messages promptly.
  • Assist with overflow work, special projects, and other duties as assigned.

Qualifications & Skills:

  • Proven experience handling real estate transactions and closings.
  • Knowledge of title matters, lien searches, and electronic recording (e.g., Simplifile).
  • Strong administrative skills, including arranging travel and processing invoices.
  • Excellent problem-solving abilities and capacity to manage multiple priorities.
  • Self-starter who works independently and efficiently with minimal supervision.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Exceptional attention to detail, organizational skills, and time management.
  • Excellent verbal and written communication skills.
  • Ability to work under pressure and meet deadlines.
  • Flexibility to work overtime as needed.

Education & Experience:

  • Bachelor’s Degree or equivalent experience preferred.
  • Minimum of seven years of experience in a medium to large law firm’s Real Estate department.
  • Bilingual in English and Spanish preferred.
  • Experience with iManage is a plus.

Technology:

  • Proficiency with Windows-based software and Microsoft Office applications required.
