Responsibilities:

1. Assist in managing the overall operations of the law office, including administrative tasks, bookkeeping, and collections.

2. Answer phone calls, emails, and other inquiries promptly and professionally, providing information as necessary or directing them to the appropriate person.

3. Maintain and manage the office calendar, scheduling appointments, court dates, and meetings efficiently.

4. Draft and proofread legal documents, such as pleadings, motions, and briefs, ensuring accuracy and adherence to legal formatting guidelines.

5. File and organize legal documents with various courts, agencies, and other relevant entities.

6. Conduct research and gather relevant case information as required by the attorney.

7. Assist in client communication and correspondence, ensuring clear and timely communication regarding case updates, court dates, and document requests.

8. Manage and maintain client files, ensuring all relevant documents are organized and easily accessible.

9. Handle billing and invoicing tasks, including tracking and recording payments, generating invoices, and following up on outstanding balances.

10. Coordinate with external vendors, such as process servers, investigators, and court reporters, as needed.

11. Assist in preparing for trials and hearings by organizing exhibits, witness lists, and trial binders.

12. Maintain confidentiality and adhere to ethical standards in handling sensitive and confidential information.

Qualifications:

1. Prior experience in criminal justice as a probation officer, court clerk or coordinator, law enforcement, District Attorney staff, or other relevant positions including paralegals and legal assistants is preferred but not required.

2. Proficient knowledge of legal procedures, terminology, and court rules, particularly in criminal defense.

3. Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.

4. Excellent communication skills, both verbal and written, with the ability to interact professionally with clients, staff, and external parties.

5. Proficiency in using legal software, case management systems, and MS Office Suite.

6. Detail-oriented and thorough, ensuring accuracy in document drafting, filing, and record-keeping.

7. Ability to conduct research using online resources and databases.

8. Strong problem-solving skills, with the ability to think critically and provide effective solutions.

9. Self-motivated and proactive, able to work independently and take initiative.

10. Demonstrated ability to maintain confidentiality and handle sensitive information appropriately.

11. Knowledge of bookkeeping principles and experience with basic accounting functions is desirable.

12. Familiarity with local court systems and e-filing procedures is a plus
